# Guides for Malaysian business owners

Each guide answers one question owners ask me, in the first paragraph, then shows the working. Read one before you call anyone, me included.

- ## [What drives the cost of a custom business system in Malaysia? (2026)](https://williamw.name.my/guides/custom-software-cost-malaysia/)

There are three paths. A spreadsheet or off-the-shelf app is free or a monthly subscription. My existing fleet or property system, deployed unchanged, starts from RM 3,999. A custom build is RM 8,000 to 20,000 for a small internal tool, RM 20,000 to 60,000 for a multi-user business system, and from RM 60,000 for a platform. Custom builds are a fixed price per milestone, and where one lands depends mostly on how many modules go into the first phase.

- ## [Fleet management system vs GPS tracking: what is the difference, and which do I need first?](https://williamw.name.my/guides/fleet-system-vs-gps-tracking/)

GPS tracking answers where a vehicle is and how it is being driven. A fleet management system, as I build it, answers what is due on each vehicle and what it costs: road tax, insurance, servicing, repairs and instalments, with reminders before road tax, insurance, servicing or an instalment falls due. Start with whichever matches what has been costing you money; many fleets use both.

- ## [How do I stop missing road tax and insurance renewals on our company vehicles?](https://williamw.name.my/guides/fleet-renewal-tracking/)

Keep every vehicle’s road tax and insurance expiry dates in one register, renew insurance first because road tax cannot be renewed without active cover, and have reminders pushed to the person responsible instead of waiting for someone to open the sheet. On a 280-vehicle Malaysian fleet running a system that does this, missed renewals went from under a hundred a year to zero.

- ## [How do I track rent, deposits and property tax across my rental properties in Malaysia?](https://williamw.name.my/guides/landlord-rent-tracking/)

Keep one register with a row for every rentable unit (tenant, lease dates, rent, deposit held) and a separate tab of each property’s tax dates: cukai pintu, usually in two halves a year, and quit rent, once a year. Check rent against the bank monthly. A spreadsheet is enough for a few units; beyond that, a custom system that bills automatically starts from RM 8,000, and the system I have already built can be deployed unchanged from RM 3,999.
