The platform, module by module.
Cobalt is one system with five parts. You can start with scheduling alone and switch on the rest as the team gets used to it — nothing needs a second implementation project.
Dispatch board
The board is the screen your dispatcher lives in. Jobs on the left, technicians across the top, travel time calculated between consecutive sites. When an emergency comes in, drop it on a technician and everything downstream updates.
- Day, week and map view, with unassigned jobs in a side queue
- Skill, licence and certification matching before a job can be assigned
- Live status: accepted, travelling, on site, paused, complete
- Recurring contract visits generated for twelve months at contract start
- Overtime and shift rules applied so you see the cost before assigning
| Status | Set by | Triggers |
|---|---|---|
| Scheduled | Dispatcher | Push to technician app |
| Accepted | Technician | Customer ETA message |
| Travelling | App, automatic | SLA clock starts |
| On site | App, geofence | Arrival time stamped |
| Parts needed | Technician | Stock check + purchase request |
| Complete | Technician | Job sheet PDF to customer |
| Invoiced | Office | Accounting sync |
Technician app — offline first
Technicians work in basements, plant rooms and lifts. The app holds the day's jobs locally, records everything offline and syncs the moment it finds signal — no lost job sheets, no re-typing in the office.
- Job sheet with checklists per job type
- Photos, meter readings and fault codes attached to the asset
- Parts used pulled from van stock, with remaining quantity shown
- Customer signature captured on screen
- Timesheet derived from actual job times, not memory
Quotes, invoices and payment
A quote becomes a job; a completed job becomes an invoice. The chain keeps its history, so a dispute three months later can be answered with photos and a signature.
- Rate card with labour bands, call-out fees and after-hours multipliers
- Parts marked up by rule or priced individually
- Deposit, progress and retention invoicing for installation work
- SST and Malaysian e-invoice fields supported
- Payment link on the invoice; reconciliation flows back to the job
Assets, contracts and SLAs
Service businesses are asset businesses. Every unit you maintain has a record: where it is, what model, when it was installed, every visit since, and what was replaced each time. Search by serial number and the whole history opens.
- Asset register with location, model, serial and warranty dates
- Contract records: scope, visit frequency, response-time SLA, billing schedule
- SLA clock per priority, with breach alerts before they happen
- Contract profitability — what you bill versus hours actually spent
Reports
| Report | Answers |
|---|---|

| Revenue per technician | Who is earning, who needs support |
| First-time fix rate | How often a second visit is needed |
| SLA performance by client | Which contracts are at risk |
| Contract margin | Which contracts to reprice at renewal |
| Parts consumption | What to stock in which van |
The questions operations managers ask on the demo.
Will my technicians actually use it?
The app has four buttons on the job screen: accept, travelling, on site, complete. Training takes fifteen minutes. The resistance we see is never the app — it is the timestamps, which is exactly why the reporting works.
What happens where there is no signal?
The day's jobs are downloaded at sync. Everything recorded offline — photos, readings, signatures — queues locally and uploads when signal returns. Nothing is lost if the phone is closed in between.
Can we keep using our accounting software?
Yes. Invoices sync to the accounting systems listed on the integrations page, or export as CSV on a schedule. Cobalt is not trying to become your ledger.
Who owns the data?
You do. Full export of jobs, customers, assets and attachments in CSV and JSON at any time from the admin panel, without asking us.
Where is the data hosted?
Singapore region, with daily encrypted backups retained 30 days. Role-based access, audit log on every record change, and two-factor authentication available on all plans.
