The starting point
Vehicles, road tax dates, insurance renewals, workshop bills and loan instalments lived in separate spreadsheets. Renewals slipped through, nobody could say what a vehicle truly cost per year, and filing paperwork meant retyping every invoice and policy by hand.
What was built
- Vehicle registry with plate, chassis, mileage, road tax and inspection dates, plus a full per-vehicle history timeline
- Four-level expiry reminders across insurance, road tax, servicing and payments, with daily digests to WhatsApp / Lark / Teams
- Finance module: rentals with payment schedules; hire-purchase loans with flat or reducing amortization computed automatically
- Offline OCR (PaddleOCR, Chinese + English) reads uploaded policies and invoices, extracts fields, matches the plate and files to the vehicle after review
- Insurance policies and claims tracking with per-vehicle cost rollups
- Custom roles built from checkbox permissions, and 11 Excel/print report types

Common questions
Does the OCR need an internet connection or per-page fees?
No. The primary OCR engine runs offline on your own server (PaddleOCR, Chinese and English), so documents never leave your system and there are no per-page API fees. Cloud engines can be added as optional fallbacks.
Our fleet is small. Is a custom system overkill?
The build is phased: a small fleet usually starts with "Registry + Reminders, Phase 1" only, which already removes the missed-renewal problem, and adds finance or OCR later only if the pain justifies it.
Can it manage vehicles we rent out to others?
Yes. Rentals are first-class: each rental has a tenant, a payment schedule and overdue tracking, and rent income appears in the per-vehicle cost rollup.
