Custom fleet management system: Built for Malaysian fleets
A fleet management system keeps every vehicle’s maintenance, road tax, insurance, repairs and financing in one place, and reminds the right person before anything expires. This is not GPS tracking: trackers tell you where a vehicle is; this system manages everything the vehicle costs and requires. I build it custom for your fleet, and you own the code.
How much does a fleet management system cost in Malaysia?
Most fleet systems land in the RM 20,000 to 60,000 bracket on the pricing page; a first phase of registry plus reminders alone ("Registry + Reminders, Phase 1") sits in the RM 8,000 to 20,000 tier. Fixed price per milestone, quoted in writing within one business day once we have talked it through.
Full pricing and what moves it| Registry + Reminders, Phase 1 | RM 8,000 to 20,000 |
|---|---|
| Most fleet systems | RM 20,000 to 60,000 |
Who this is for
- Companies running 5 to 300 vehicles on spreadsheets, where road tax or insurance renewals occasionally slip through
- Operations managers juggling maintenance schedules, workshop bills and hire-purchase instalments across many vehicles
- Businesses that rent vehicles out and need payment schedules and tenant records tied to each vehicle
What it covers
Vehicle registry: plate, chassis, mileage, road tax and inspection dates, full history timeline
Tiered expiry reminders (insurance / road tax / service / instalments) pushed to WhatsApp, Lark or Microsoft Teams daily
Maintenance and repair records with workshop, cost and status workflow
Insurance policies and claims tracking
Finance module: rentals with payment schedules, hire-purchase loans with auto-computed flat or reducing amortization
OCR document intake: upload a policy or invoice, the system reads it, matches the vehicle and files it in one click
Role-based permissions and one-click Excel reports (11 report types)
Custom-built vs off-the-shelf
| Aspect | Custom-built | Off-the-shelf SaaS |
|---|---|---|
| Fit to your workflow | Built around how your fleet actually operates; change requests go to the developer who wrote it | You adapt your process to the software; feature requests join the vendor’s roadmap |
| Cost model | One-time build (phased milestones) + optional maintenance retainer; no per-vehicle monthly fee | Monthly per-vehicle or per-user subscription, forever |
| Data & ownership | Source code and database are yours; host it where you want | Data lives in the vendor’s cloud; export options vary |
| GPS tracking | Not included by default; can integrate with your existing tracker’s API if needed | Malaysian "fleet management" vendors are mostly GPS hardware companies; management features are secondary |

Try it on your own list first
Send me your vehicle list (a photo of the Excel is fine) and within one business day of starting your check I’ll send back every road tax and insurance renewal due in the next 90 days, free, no call needed. If you’d rather it happened by itself, a registry-and-WhatsApp-reminders system for your fleet is a fixed price from RM 8,000, live in weeks, and you use it on a live link before paying the balance.
I take two checks a month, first come first served; if the month is full I’ll tell you the date I can start yours. Plates can be blacked out; the check works on dates. The file is deleted after the check unless you decide to go ahead.
Common questions
How do we stop road tax and insurance renewals slipping through across our fleet?
Renewals slip because the dates sit in a spreadsheet, and a spreadsheet only works on the day someone remembers to open it. The fix is to make the dates come to people: keep every vehicle’s road tax, insurance, servicing and instalment dates in one registry, and have the system send graded reminders every day to WhatsApp, Lark or Microsoft Teams before anything expires. On a 280-vehicle Malaysian rental and corporate fleet running this system, missed renewals went from under a hundred in the year before go-live to zero since. The step-by-step routine is in my guide on fleet renewals, linked under Related below.
What it changed on a 280-vehicle fleet. The client, a rental and corporate fleet company, confirmed in writing that missed renewals fell from under a hundred in the year before go-live to zero since. In the words of their supervisor: “The system paid for itself within the first few months. Renewals used to slip through the cracks, and now they don’t. It’s one of the few tools we’ve invested in that our team actually uses every day.” (Supervisor · a rental and corporate fleet company.) The same system also files uploaded policies and invoices with offline OCR and reports the true cost of each vehicle, but you do not need either of those to stop missed renewals.
Before you commit to anything, try it on your own list. How is this different from GPS fleet systems?
GPS vendors sell tracking hardware with software attached: location, speed, geofencing. This system manages the paperwork and money side: maintenance, road tax, insurance, repairs, loans and rentals. Many fleets need both; they solve different problems.
Can it send reminders to WhatsApp?
Yes. The delivered system pushes daily digests and urgent expiry alerts to WhatsApp (via the official Meta Cloud API), Lark or Microsoft Teams, graded by urgency so critical items stand out.
We manage everything in Excel today. Can our data be migrated?
Yes. Vehicle lists, maintenance history and policy records in spreadsheets are imported during setup, so the system starts with your full history instead of from zero.
How long does a fleet management system take to build?
A scoped first phase, "Registry + Reminders, Phase 1" (vehicle registry and expiry reminders), typically goes live in weeks, not months. Finance, OCR and reporting modules follow as phased milestones, each reviewed on a live demo before production.
