WhatsApp Business API integration: Let your system do the chasing
WhatsApp Business API integration connects your business system to the official Meta WhatsApp Cloud API so reminders, invoices and alerts send themselves from your own data: a road tax expiring, an invoice due, a lease ending, a server down. Operational messaging tied to a record, not a marketing blast tool.
Who this is for
- Businesses whose renewals, invoices or bookings are chased manually on WhatsApp today, where a missed message costs real money
- Teams that already have a system (or are having one built) and want it to notify people instead of producing a list somebody has to read
- Operations and IT teams who need graded alerts to reach the right person on the channel they actually watch
What it covers
Official Meta WhatsApp Cloud API: a verified business sender, not an unofficial gateway that gets your number banned
Tiered reminders: the same event escalates as the date approaches, so a 60-day notice and a 3-day notice are not the same message
Daily digests so a busy owner gets one summary instead of forty separate pings
Message templates in English, Chinese or Malay, submitted and approved through Meta the way the API requires
Delivery logging and retries: you can see what was sent, to whom, and what failed, instead of hoping
Same pipeline also targets Lark and Microsoft Teams, so internal alerts and customer messages share one system
Works against a system I build for you, or as an integration phase on the system you already run
Custom-built vs off-the-shelf
| Aspect | Custom-built | Off-the-shelf SaaS |
|---|---|---|
| What triggers a message | Your own data: a due date, a status change, a threshold crossed; nobody has to remember | You upload a contact list and press send; the timing is still a human decision |
| What it is built for | Operational messages tied to a record: this vehicle, this invoice, this lease, this incident | Marketing broadcasts and campaign blasts to a segment |
| Account safety | Official Cloud API with a verified business profile and Meta-approved templates | Some cheaper tools automate a personal number, which risks a ban on the number your business runs on |
| Cost model | One-time integration build, then Meta conversation charges at cost; no per-contact monthly fee on top | Monthly subscription tiered by contacts or messages, forever |
Built and running

Common questions
Is this the official WhatsApp API, or an unofficial workaround?
Official. The delivered fleet management system pushes its reminders through the Meta WhatsApp Cloud API with a verified business sender. Unofficial gateways that drive a personal WhatsApp account are cheaper up front and put the number your business depends on at risk of being banned. I do not build on them.
We already have a system. Can WhatsApp be added to it?
Usually yes: if your system has a database I can read and somewhere to run a scheduled job, the notification layer sits alongside it rather than replacing it. Send me a short description of what you run and I will tell you within a business day whether it is a clean integration or whether something needs to change first.
What does Meta charge, and is that included?
Meta bills conversations directly to your own WhatsApp Business account, at their published Malaysian rates. It goes to you, not through me, so there is no markup. What I quote is the integration build itself. Utility messages like reminders and receipts are the cheapest category.
Can messages go out in Chinese or Malay?
Yes. Templates are submitted to Meta per language, so the same reminder can reach one recipient in Chinese and another in English or Malay depending on what you hold against that contact.
