Property management system for Malaysian landlords & property owners
A property management system for owners (not agencies) keeps every property, unit, lease, tenant, invoice and tax obligation in one ledger, generates rent invoices automatically each cycle, and shows the real profit of every property. Malaysian SaaS tools target agents and JMB/MC committees; owners with a growing portfolio are left with spreadsheets. This is built for them.
How much does a property management system cost in Malaysia?
Most property systems with automatic invoicing and Malaysian taxes land in the RM 20,000 to 60,000 bracket on the pricing page; a first phase with properties, leases and automatic invoicing alone sits in the RM 8,000 to 20,000 tier. Fixed price per milestone, quoted in writing within one business day once we have talked it through.

Who this is for
- Individuals or families holding multiple houses, shophouses, offices or land, managed today in spreadsheets and bank statements
- Company-held property portfolios that need clean records per holding entity for accounting and LHDN
- Owners tired of chasing rent manually and reconstructing tax records every assessment season
What it covers
Property → unit model: sub-divide a shophouse or office into rentable units with independent leases
Lease lifecycle with rent escalation, penalty terms, deposits and stamp-duty records
Automatic recurring rent invoicing, payment allocation, and print-ready invoices for tenants
Built-in Malaysian property taxes: assessment (cukai pintu/petak), quit rent, RPGT and stamp duty with payment bills
Maintenance work orders, vendor bills and document storage per property
One-click reports: rent roll, P&L per property, AR aging, cash flow, occupancy, annual tax summary (CSV export)
Multi-user roles: owner, accountant, manager; each sees only what they should
Custom-built vs off-the-shelf
| Aspect | Custom-built | Off-the-shelf SaaS |
|---|---|---|
| Who it serves | The owner’s view: portfolio profit, taxes, renewals, built around your holdings | Agency/JMB workflows: listings, commissions, community management |
| Malaysian taxes | Assessment, quit rent, RPGT and stamp duty modelled natively with payment schedules | Generic "expenses" category at best |
| Cost model | One-time build + optional maintenance; no per-unit monthly fees as your portfolio grows | Subscription typically priced per unit or per user |
| Privacy | Your holdings and rentals stay in your own database | Portfolio data sits in a vendor’s multi-tenant cloud |

Common questions
Does it handle cukai pintu, quit rent and RPGT?
Yes. Malaysian property taxes are first-class records in the system, each with due dates and payment bills, and they flow into the per-property P&L and the annual tax summary report.
Is my portfolio data safe? Who can see it?
The system is deployed to infrastructure you own or control, with role-based access: your accountant sees finances, a manager sees work orders, and nobody outside sees anything. Source code and database are handed over to you.
Can tenants receive invoices automatically?
Invoices generate automatically every cycle and are print/PDF-ready to send; automated WhatsApp or email delivery to tenants can be added as an integration phase.
